Introduction

The following topic outlines the steps involved in setting up and using accrual rules which permit employees to bank time (flex time) that can be later used for time off.

Step 1 - Create and assign the flex time task

  1. Create the task against which employees use banked time (e.g. Banked Time).
  2. Assign this task to the Leave/Absences project and assign all applicable employees to this task. When using banked time, employees must select this task from the Leave/Absences project.

Step 2 - Create a Leave/Absence rule:

From the Leave/Absences view (or the Time and Attendance view if using Track-IT Suite).

  1. Select an existing rule or create a new Leave/Absence rule. (i.e. Flex Time rule)
  2. Click the New (or Add) button near the bottom of the view.

  1. Enter the details for the Accrual Rule in the appropriate boxes and check that 'Flex Time Only' is selected from the calculate drop-down list. (i.e. the picture above shows an accrual rule which accrues 1 hour for every 1 hour worked).
  2. Click OK.
  3. Click Save.

Step 3 - Assign the Leave/Absence rule to the employee:

  1. Select the employee from the Employee view.
  2. Select the Additional tab (or Advanced in Track-IT Suite) at the bottom of the window.
  3. Select the Leave/Absence rule used in Step 2 from the Leave/Absences rule drop-down list box. Skip this step if the Leave/Absence rule is already applied.

Step 4 – Creating an overtime rate for flex time:

From the Overtime Rates view .

  1. Create a new overtime rule (ex. Flex time OT).
  2. Enter a prorating of 0 for this overtime rate.
  3. Click Save.

When banking time, the employee must select this Overtime rate.

Step 5 - Assign the Overtime Rate to Rates:

From the Rates view.

  1. Select the rate which applies to the employee banking time.
  2. From the Available Overtime Rates list near the bottom of the screen, select the Flextime overtime rate  (Flex time OT) and click the Add button on the right-hand side.
  3. Click Save.

Apply this overtime rate to all other applicable pay and charge out rates.

Step 6 – Accruing time:

To accrue time, an employee can track time against any task, except the flex time task created in Step 1. When entering time they must ensure to select the Overtime rate created in Step 4 (ex. Flextime OT).

Step 7 – Using the accrued time:

To use accrued time, an employee must enter time against the Leave/Absences project and the flex time task that was created in Step 1 (ex. Banked Time). When using accrued banked time, an overtime rate does not have to be selected.
